Ecclesia is scheduling and communications software for Christadelphian ecclesias. This policy states what personal information Ecclesia collects, how it is stored and used, who it is shared with, and how a member controls it.
Who operates Ecclesia
Ecclesia is operated by Jeffrey Lange, a sole proprietor doing business as Ecclesia. Questions about this policy go to ecclesia1948@gmail.com.
What information Ecclesia collects
A member's information is entered by the member, or by an administrator of the ecclesia the member belongs to.
- Account and profile. Name, email address, phone number, and the household the member belongs to. An ecclesia may also record a birth date, gender, and whether the member is baptized, because these determine which duties a member is eligible for.
- Sign-in records. An encrypted form of the member's password, the times the member signed in, and the IP addresses those sign-ins came from. Ecclesia never stores a password in a readable form.
- Scheduling information. The events, duties, rotations and periods of absence the ecclesia and its members enter.
- Notification settings. Which channels a member has turned on, which schedules use them, and the date and time the member gave or withdrew consent to receive text messages.
- Files. Documents and images a member or an ecclesia attaches to an event or a record.
- Usage information. The pages visited, the browser and device used, and the referring page. Ecclesia masks IP addresses in these records and does not look up a location from them.
How Ecclesia uses the information
Ecclesia uses personal information to:
- build and publish the ecclesia's schedule and assign its duties;
- send the reminders and notices a member has asked to receive;
- let members of the same ecclesia find and contact one another;
- keep accounts secure and investigate misuse;
- find and fix faults in the software.
Ecclesia does not use personal information for advertising, and does not build profiles for any purpose beyond running the service.
Text messages and email
Text messages are off until a member turns them on. A member opts in by confirming a phone number with a code that Ecclesia texts to that number. Ecclesia records the date and time of that consent.
Ecclesia sends text messages only about the events and duties in the member's own schedule. Ecclesia sends no marketing or promotional messages. Message and data rates may apply, and message frequency varies with how often a member is scheduled to serve.
A member replies STOP to any message to cancel, or HELP for help, and can turn text messages off at any time in their notification settings. Ecclesia does not sell, rent or share phone numbers or text-message consent with anyone for marketing, and does not share them with third parties for their own purposes. The text messaging policy shows the opt-in screens and states the rules in full.
Who can see a member's information
Each ecclesia on the platform is separate. One ecclesia cannot see another ecclesia's members, events or schedules.
Within one ecclesia, a member's name and contact details are visible to other members of that same ecclesia, and the schedule shows which member is assigned to which duty. This is the purpose of the service.
Ecclesia does not sell or rent personal information.
Text messaging originator opt-in data and consent will not be shared with any third parties.
How Ecclesia stores and protects the information
Information is stored using cloud infrastructure in the United States. Traffic between a member's browser and Ecclesia is encrypted. Passwords are stored only as secure hashes. Access to information is restricted according to account and ecclesia permissions, and the operator may access information when necessary to operate, support, or repair the service.
How long Ecclesia keeps the information
Ecclesia keeps personal information for as long as reasonably necessary to provide the service and maintain ecclesial records. When an ecclesia stops using Ecclesia, or when information is deleted at the request of an authorized user, residual copies may remain temporarily in backups or logs before being removed in the ordinary course of operation.
A member's choices
- Correct a profile at any time after signing in.
- Turn any notification channel on or off, for all schedules or for one.
- Reply STOP to cancel text messages.
- Ask for a copy of the information Ecclesia holds, ask for it to be corrected, or ask for it to be deleted, by writing to ecclesia1948@gmail.com.
Changes to this policy
If this policy changes, the new version appears on this page with a new effective date.
